    TEACH Grant Closeout Information for 2024–25 Award Year

    TEACH Grant Closeout Information

    The U.S. Department of Education has announced that the final deadline for schools to submit and reconcile TEACH Grant data for the 2024–25 award year is Tuesday, September 30, 2025. This date marks the last processing day for the award year, and all data must be received and accepted by then to be included in a school’s final Ending Cash Balance.

    To successfully close out for the 2024–25 TEACH Grant award year, schools must:

    • Achieve a zero Ending Cash Balance, ensuring that net drawdowns equal total net booked disbursements, and that total net unbooked disbursements are also zero.
    • Complete both internal reconciliation (comparing internal records across departments) and external reconciliation (aligning internal records with the TEACH Grant School Account Statement and COD System data).
    • Ensure all batches have been sent to and accepted by the COD System, and that all disbursements and adjustments are accurately reflected.
    • Resolve any outstanding rejected records and return all refunds of cash to the Department.
    • Confirm closeout via the School Balance Confirmation page on the COD website.

    Important Reminders

    • Schools should not delay reconciliation and closeout activities in anticipation of potential future transactions.
    • Completing closeout within a month or two of final disbursements is encouraged to ensure compliance and to avoid complications.
    • After confirming closeout, schools will receive a Program Year Closeout Letter via email, and the COD System will reject any new or increased award or disbursement changes.

    Support and Resources

    Balance Notification emails will be sent to Financial Aid Administrators and Presidents to provide updates on current Ending Cash Balances and general closeout information. Schools are encouraged to maintain regular communication with any third-party servicers involved in TEACH Grant processing to ensure timely reconciliation and closeout.
